College education from an accredited institution can substitute at the rate of 30 semester or 45 quarter hours for one year of the required work experience. Vocational/technical training in the area of secretarial science or office/business studies can substitute at the rate of 720 classroom hours for one year of the required work experience. DUTIES AND RESPONSIBILITIES: Serves in the Northwest Regions Service Center as Purchasing Assistant and shared administrative support. Purchasing Assistant duties include reviewing and entering purchase order requisitions into My Florida Market Place (MFMP) and processing invoices for payment for all Divisions/Offices, including vendor assistance to resolve invoice related concerns or issues. Assists with or obtains required vendor quotes when requested. Research state contract and collaborates on regional office contracts. Check vendors to assure they are registered with the State of Florida. Answers questions regarding purchasing policies and procedures. Assists staff as requested with required purchasing paperwork and/or documentation. Responsible for processing regional utility invoices for payment and entering data in the State Energy Management Plan (SEMP). Assists Regional Purchasing Agent III with invitations to bid (ITBs) pre-bid conferences. Orders supplies for Regional Operations and Regional Office and enters purchasing card (p-card) purchases into the states P-Card WORKS system.
