Public Works Executive Coordinator Application Deadline: February 25, 2022 Hours: Monday – Friday, 7 a.m. – 4 p.m. Rate of Pay: $24.0372 - $33.6520 Hourly $49,997.38 - $69,996.16 Annually Characteristics of the Job Under general supervision of the Director of Public Works, performs advanced and very complex office management duties, prepares and handles legal and highly confidential information including confidential information related to collective bargaining; performs budgeting and bookkeeping duties; and otherwise relieves officials of administrative and business detail. Examples of Duties Other duties may be assigned. Provide on-going complex administrative support to the Director of Public Works and all divisions in the Public Works Department. Handle highly confidential and sensitive information, including, but not limited to, information related to personnel matters, collective bargaining, and other information handled by the Director of Public Works. Prepare and enter budget data and assist the Director of Public Works with monitoring expenditures and revenues throughout the year. Handle payroll duties for the Public Works Department to include bi-weekly data entry and related paperwork, in accordance with applicable labor agreements and/or City policy. Reconcile a variety of financial accounts to ensure the appropriate allocation of federal and state funds, grant funds, and other revenues, in compliance with regulatory guidelines. Process invoices for payment and oversee the use of purchasing cards for the Public Works Department, as well as provide invoicing information to the Finance Department for work performed for special events and contractual services. Provide work instruction to and review the work of other department staff as required by the Director of Public Works. Draft city council resolutions, ordinances and agenda item descriptions. Assist with the application for and administration of grants. Maintain and account for department petty cash fund and office supplies. Operate general and specialized office equipment, such as computers, phones, recording equipment, copiers, calculators, fax machines, etc. Set-up, organize and maintain complex files, records and reports.
